CLEARANCE LETTER APPLICATION

A Library Clearance Letter for graduation is an official document issued by a university library to confirm that a graduating student has no outstanding obligations with the library. It is a mandatory requirement before the university processes the student’s graduation and issues the graduation scroll.
 
Purpose of the Library Clearance Letter
The letter serves as proof that the student has:
  • Returned all borrowed books and materials
  • Paid any overdue fines or fees
  • Settled any pending book reservations or transactions
  • Cleared any library-related responsibilities
 
Why It’s Important?
Without a Library Clearance Letter, students may face delays in receiving their final transcripts, certificates, or graduation approval. It ensures that all library resources are accounted for before students leave the university.
 
How to Apply?
  • Fill out the Library Online Clearance Letter Application according to your campus:
    • Perpustakaan Hamzah Sendut (Main Campus)
    • Perpustakaan Hamdan Tahir (Health Campus)
    • Perpustakaan Kejuruteraan (Engineering Campus)
  • Complete the online form, and submit your application
  • Library will process your request once all requirements are fulfilled
  • Receive the Library Clearance Letter via email as provided in the form
Graduating students are encouraged to complete this process early to avoid last-minute delays in their graduation clearance.
